Using Two Factor Authentication with Cogmotive Reports

Two factor authentication adds an extra layer of security to your account and helps protect your Office 365 reporting data stored in Cogmotive Reports. If you enable Two Factor Authentication you will be required to log in with a One Time code that is generated via a Smartphone application in addition to your normal username and password.
We are making Two Factor Authentication available at no extra cost on all our plans as part of Cogmotive’s ongoing commitment to providing the most secure Office 365 Reporting platform possible.
Cogmotive’s Two Factor Authentication is based on the same technology that Microsoft uses, which is the industry-standard Time-Based One-Time Password Algorithm (RFC 6238). This means you can use any standard smartphone authentication app.
An authenticator app works by generating a new security code every 30 seconds. Once you have an authenticator app installed on your smart phone and paired with your account, you can always get a code – even if you have flight mode turned on, or are somewhere with no mobile reception. Authenticator apps are available for many smart phones today, and most of them will work with your Cogmotive account.

Enabling 2 Factor Authentication

Once you have the correct Authenticator Application installed on your smart phone, log in to Cogmotive Reports and click on the Profile & Settings link in the left hand Navigation Menu.
Click the green Enable Two Factor Authentication button.
Open the Authenticator app on your phone and follow these instructions:
Microsoft Authenticator

  • Click the Plus button to add a new account
  • Click the Camera button follow the instructions to scan the QR code displayed on screen
  • You should see the new account added and the One Time Token changing every 30 seconds
  • Type the current token into the box provided on screen and click the Verify button

Google Authenticator

  • Click the Plus button to add a new account
  • Follow these instructions to scan the QR code on screen
  • You should see the new account added and the One Time Token changing every 30 seconds
  • Type the current token into the box provided on screen and click the Verify button

Logging in to Cogmotive Reports with Two Factor Authentication

When you next log in to Cogmotive Reports, you will be prompted with the normal Username and Password box.

After successfully authenticating you will be prompted to enter the One Time token generated by the smartphone application.

You can tick the Trust this device for 14 days box if you are using your own computer. This means you will not be prompted to enter a One Time Token again for the next 14 days when you log back in from this device. You will still need to enter a token if you log in from a different computer or browser. We only recommend using this option if you are using a secure computer that has the latest security updates and a virus scanner installed.

Disabling Two Factor Authentication

To disable Two Factor Authentication, click on the Profile & Settings page.
Click the blue 2 Factor Authentication Settings button.
You can now disable Two Factor Authentication by clicking the big red button.

Troubleshooting Two Factor Authentication

If you have problems logging in, please try the following:

  • Make sure that the time on your Mobile Phone is correctly set.
  • Ensure that the code you are entering has not been used to log in before.
  • If your account has been locked out due to too many incorrect attempts, please try again in 15 minutes.
