New Report: SharePoint Groups

Jan 4, 2017 by Dan Rose

We’re welcoming 2017 in with a brand new report for SharePoint Online. The SharePoint Groups report lists all of the groups that are referenced within your SharePoint Site Collections.
What is a SharePoint Group?

A SharePoint Group is a selection of SharePoint users which share similar tasks or use SharePoint in the same ways. This means that they need the same level of permission (edit, view-only, etc.), and SharePoint Admins can create, and organise users into any number of groups at Site Collection level. SharePoint Groups provide a useful way of coordinating similar SharePoint users and enabling you to simplify user permissions management.

As you can see below, the full list of groups, and their corresponding site collection are displayed in a table view, which can be filtered or searched, in order to show the details you need. To list your groups by Site Collection, just select the site from the drop down list, and click Apply. Additionally, you can search by entering a keyword into the Search column.

The default view for this report shows the name of the Site Collection, the group name, the group description, the group owner, and the number of members within each group. As with all our reports, the table is fully customizable, so you can add or remove attributes based on what you need to see.

Depending on the size and complexity of your organization’s SharePoint Online estate, the platform can often seem unwieldy, sprawling and difficult to manage. This new report should make it easier to review, understand, and map the SharePoint Groups existing in your environment.
