Discover the extent of offline/PST data files

Offline email data is typically stored in ‘personal storage table’ (PST) files, the default format for storing messages and other items within Microsoft Exchange Client, Windows Messaging and Outlook. Organizations typically have many thousands of PSTs scattered throughout the enterprise – on desktops, laptops, removable disks and shared drives. Not only do PSTs present management headaches; they also create security and compliance risks.

PSTs are not centrally managed, so there is no way of confirming exactly how many there are in the infrastructure, where they are, whether they are corrupted, whether they are duplicates or whether the people who created them have left the company.

You can eliminate offline files entirely by migrating PST email and associated journal data to more cost-effective platforms such as Office 365 or Exchange 2013, or an archiving solution such as Enterprise Vault (EV). But establishing how widespread a problem you have with offline data ahead of a migration project is a major challenge.

QUADROtech PST Snapshot service

Request a PST Snapshot as an essential first step to discovering, consolidating and migrating your PST files. This service uses the same advanced discovery technology as PST FlightDeck to give you an accurate high-level overview of the extent, spread and characteristics of PSTs throughout your organization.

PST Snapshot rapidly scans your enterprise to determine the size and amount of offline PSTs residing in your infrastructure. It enables you to determine the extent of your PST problem with minimal investment in time and resources.

  • Understand migration challenges based on sample data from the live environment.
  • Outline the project activities required for successful migration.
  • Obtain metrics for design, planning and resourcing.
  • Identify unique challenges requiring additional resources or custom processes.

How it works

PST Snapshot is a QUADROtech managed service that uses an agent to identify files in end users’ Outlook profiles, on their local disks, on removable media, and on network storage.

General information about the size, age and location of files is presented in a report that allows you to start scoping your PST migration project. Should you subsequently choose PST FlightDeck to manage your migration, it can access richer, deeper metadata that allows you to make informed decisions about how files should be collected, transformed and ingested into your target.

Why choose PST Snapshot?

Proprietary vendor tools, such as EV’s Locate/Collect/Migrate functionality and Microsoft Exchange PST Capture, are available to help you migrate to those platforms, but their functionality is more restricted than QUADROtech’s specialist tools. We have the industry’s highest success rate for organizations struggling with discovery and migration of PST files on local clients.

Because it shares its polling method with PST FlightDeck, the PST Snapshot service has been proven to be particularly effective at discovering offline PSTs (rather than just those that connect to the Exchange Server), and it consequently has a better discovery rate for removable and shared media.
