Migrating email into Exchange Online is one of the most important considerations in adopting Microsoft Office 365, and there are many ways of extracting and ingesting data from legacy systems.
Although Microsoft’s own tools may suffice for simple migrations of live mailboxes from Exchange Server, for more complex projects the risks of business interruption often demand a more powerful approach. You may be considering migrating Exchange data alongside archives like Enterprise Vault (EV). And you are likely to need to consider offline PST files too. Each have their interdependencies, and these need to be taken into consideration if you are not going to fall foul of compliance requirements. For example, if you are considering VDI using Azure, a huge blocker is that traditional PST mailboxes will not work in a RemoteApp environment. Neither will shortcuts to old EV archives.
In some circumstances you may be considering adopting a hybrid Office 365/Exchange 2013 on premise model. Many organizations also take the opportunity to set up new on premise EV archives alongside Office 365 cloud services.
The Exchange Admin Center in your Office 365 portal includes several migration options: remote migration, which requires a hybrid configuration between your on premise Exchange and Office 365; staged migration; cutover migration; and IMAP migration (from clients such as Google Mail).
Although cutover and staged migration theoretically support fewer than 2,000 and more than 2,000 mailboxes respectively, many experienced Office 365 consultants consider the practical limits of both migration methods to be just 150 mailboxes. Large cutover projects, in particular, can be very difficult to perform even if you are only migrating live mail from Exchange. And however you manage your project, Chain of Custody must be maintained.
