As we approach the end of 2014 and before we start 2015, I wanted to take a moment to look back at some of the successes of QUADROtech’s 2014.

2014 has seen us accelerate our growth beyond anything we had imagined – having started the year with a small (yet extremely committed!) team of 19 people, and ending (at the time of writing) with 40.

Through the continued refining of our products, we have been able to not only take on more projects, but tackle much larger ones too. We broke new records with different projects for the largest migration of a single archiving system: first 180TB, then 200TB and now 280TB… in fact 11 projects over 100TB! Our growth has encompassed every department and facet of the organization, from sales to development, infrastructure to training.

As we look to the start of 2015, our commitment to our product development, customer service and market offering as the only triple play vendor in this space capable of providing solutions for offline, live and archive mail migration, will only continue to grow.

Let’s take a quick look at some of 2014’s key achievements:

  • Summer saw the launch of ArchiveShuttle.cloud, our cloud-based zero-infrastructure migration solution with incredibly low TTFI.  ArchiveShuttle.cloud Released (Press Release).
  • We updated our cloud datacenter with a $250k infrastructure investment to cater for almost 50 projects running on ArchiveShuttle.cloud
  • We doubled our development and support team resources to increase our development speed and agility, having insourced the whole team during 2014
  • The Advanced Ingestion Protocol for Office 365 launched as a part of Archive Shuttle giving the market’s only performant and compliant migration from 3rd party archives into Office 365
  • We launched FlightDeck 3.3, the most capable PST consolidation and management product in the market today, with improved support for Office 365, Corrupt PST file handling and change auditing
  • We announced MailboxShuttle – our live mail migration product

Late breaking news!
Just before I close, I am proud to announce that ArchiveShuttle has just achieved gold certification from MigrationForensics, an independent migration market analyst and auditor. Their rigorous certification process tests migration software against criterias of compliance, security, performance, integrity and audit capabilities meaning our customers can have complete reassurance in the ArchiveShuttle product performing a safe and best practice migration. QUADROtech and Insentra deploy the ArchiveShuttle to successfully migrate 14TB of Fujitsu’s email archives to E.V 10 with no user disruption or downtime.

Why the switch?

Fujitsu wanted to move onto a newer archive platform to provide a better experience for their users. Also, with growing mail volumes, they wanted to take the load off their E.V environment to better handle the nightly archiving of mailboxes. This would require a switch from a single vault store, to three.

Why ArchiveShuttle?

Combined with Insentra’s experience with migration projects, the ArchiveShuttle was the ideal tool for the job thanks in part to the Sync’n’Switch feature. This helps synchronize a temporary archive in the background then switch the user according to determined rules.

How did we approach the project?

Fujitsu’s key project requirement was to ensure the staff’s email access wasn’t disrupted while live and archive migration occurred in parallel. Once Fujitsu’s live Microsoft Exchange mailbox migration was complete for a group of users, ArchiveShuttle’s “Sync’n’Switch” feature switched the users to complete the archive migration to the new Symantec EV environment. The automatic conversion of mailbox shortcuts and decommissioning of the old EV archive platform formed the final part of the workflow.

What was the benefit of this?

Users didn’t even know there was a migration project running or that their archives are now hosted on new EV servers. They also have greater access to Vault Cache and Virtual Vault that were limited in the original environment.

What were the results?

Without affecting the user experience, Fujitsu was able to successfully migrate the existing Symantec EV environment to their new Symantec EV platform. With a data migration success rate over 99.97%, the integrity of Fujitsu’s data was never compromised.

It was interesting to see MigrationForensics recently write about the “Tortoise and the Hare” in regards to how projects are about more than just simple performance or duration of the production phase. In fact, we believe our approach embodies the best aspects of both the tortoise and the hare.

When we first designed ArchiveShuttle.cloud, we were heavily focused on reducing the infrastructure impact and burden for customer migration projects. This provides us with the capability for QUADROtech and our partners to deliver proof of concepts and overall projects far faster than our competitors. Considering we also deliver most of the large archive migration projects in the industry (280TB single technology our largest, and currently performing another 7 over 100TB right now), migration performance (in terms of items/second) is also critical to us.

Our TimeToFirstItem (TTFI) and TTPC (as MigrationForensics calls it) is the fastest on the market thanks to ArchiveShuttle.cloud. Very simply, we require hardly any (if any at all) hardware deployment. Our strategy towards projects utilizing ArchiveShuttle.cloud is to eliminate the need for any infrastructure deployment in the Pre-Config phase and significantly reduce planning time with our simple to use interface in the cloud.

The agent is installed on the Source and Target Environment and connects to our cloud, which contains the SQL Server, core component, and everything else that is needed to run the migration. The best part is that we don’t need to keep any messages or data in our datacenter. It all migrates directly from the agent to the target, keeping data safe, secure and inside your company at all times.

Just last week, from the point we were engaged by a customer (before infrastructure deployment, planning etc.), we were able to perform TTFI in just 2 hours and Pilot Complete in 24.

We are confident we can optimize this performance even more!

Over the past couple of weeks we have discussed the benefits of using ArchiveShuttle over traditional migration approaches. Today, in the final part of our interview with our CTO, Michel Zehnder, we look at how Sync’n’Switch technology fits into the ArchiveShuttle approach to migration.

Michel, tell us a little about QUADROtech’s ‘Sync’n’Switch’ technology? How does it work?

MICHEL

To explain Sync’n’Switch effectively, let’s split it into 2 stages. The synchronization/data migration stage and the switch or user migration stage.

In Stage 1, we’re starting to synchronize items in the background from the source to the target system.

Stage One will not affect the usual functionality of the source system, everything works like before. New items are getting archived according to the policy that has been set up. Users can still access all items and use the functionality of the whole system.

In the background we’re fetching data and ingesting it in the target system in a temporary archive, which is not accessible and completely hidden from the user. This way we can start to sync the items, even weeks or months before the real migration occurs.

The Sync process will fetch also deltas. That means that if I get enabled today, and all my items have been synchronized to the temporary target, but new items were archived in the meantime, ArchiveShuttle will still find, identify, and synchronize them automatically.

Stage 2 is the actual migration of the archive. In stage 2 we start a workflow that takes care of the disable process on the source, the assignment of the temporary archive to the user and the processing of shortcuts, calendar items and all other stubs in the mailbox of the user. Typically Stage two is a fast process and takes just a few minutes per user.

This Sync’n’Switch approach ensures user-facing transparency and allows you to prepare the migration without any time pressure. There are several other advantages and automation possibilities, like having the move of an exchange mailbox trigger the migration of an archive, but that would be too complex to cover in a short answer. I’m pretty sure, we’ll cover that in one of our QUADROtech TV sessions as a video.

Last week we kicked off the first part of our 3-part interview with our CTO, Michel Zehnder. We explored some of the advantages of using ArchiveShuttle over more traditional archive migration approaches. This week we discuss the benefits of ArchiveShuttle’s modular approach.

Would you explain in more detail, what benefits ArchiveShuttle’s modular approach provides the customer?

MICHEL:

Of course. As I mentioned before, utilizing ArchiveShuttle offers much more flexibility, improved performance and reliability throughout the migration.

Let me give you an example. Consider a migration from Enterprise Vault into another system, it doesn’t matter if it’s another enterprise vault system, Exchange or cloud platform.

Flexibility

Even in medium size environments you’ll typically find more than one server running Enterprise Vault. Each server can handle multiple vault stores. We typically deploy extraction modules to each Enterprise Vault Server. Within ArchiveShuttle we can assign exactly which module is responsible for which task which provides greater flexibility in terms of scaling the migration.

As our Modules are deployed locally to the archiving servers, we avoid additional network hops during the extraction. From a performance perspective, it’s important to get them as close as possible to the archiving backend and in the case of the Enterprise Vault example, as close as possible to each storage service of EV which is responsible for a vault store.

Performance

If you are going to migrate 100 million items, and the network/API delays take just 100 additional milliseconds for each item, we’re talking about 2700 hours or 115 days additional migration time which we can avoid via local deployment.

Reliability

Last but not least, the reliability of the migration will be increased. Consider if you need to reboot one of the EV Servers, or the EV Services are down for some reason. This would only affect the particular vault server and the particular module. If you have a longer outage, you just create another module running on another server responsible for those vault stores residing on the server that’s down.

QUADROtech announces the Advanced Ingestion Protocol to offer customers revolutionary Office365 ingestion speeds.

In cooperation with Delegate, a premium European Microsoft and QUADROtech partner based in Denmark, and a customer with three different EV sites in three different continents, we tested our Advanced Ingestion Protocol into Office 365 and compared it to the traditional Exchange Web Service Approach (EWS).

Today we received the first “real-life” results:

The data was migrated during the POC three different times using two different approaches. In the first approach, pure EWS (Exchange Web Services) was used, resulting in a peak performance of 11 items/second in EMEA, 11 items/second in USA and 9 items/second in APAC. The average performance was around 24 items/second.

In the second attempt, a fully functional AIP Office365 Module in ArchiveShuttle was used to assess the real-world performance increase when ingesting the items into Office365.

The performance increase was significant, resulting in a peak performance of 55 items/s in EMEA, 48 items/s in USA and 44 items/s in APAC, with each region using just 8 ingestion threads. The average performance showed a performance of around 125 items/second across all three regions.

Based on the performance numbers above, the customers migration duration has dropped significantly. The effect is shown in the estimates below:

Archived Items Count in EV: 520,817,280

Approach 1: (traditional EWS)
520,817,280 / 24 (items/s) / 60 (sec) / 60 (min) / 20 (h/day) = 336 days (net) migration time

Approach 2: (Advanced Ingestion Protocol)
520,817,280 / 125 (items/s) / 60 (sec) / 60 (min) / 20 (h/day) = 58 days (net) days migration time

The QUADROtech Research Team are always working on improving project efficiency and migration speeds to help customers complete migrations as fast as possible.

In the first part of a 3-part interview with our CTO, Michel Zehnder, we explore the key differences in using Archive Shuttle over more traditional migration methods.

Michel, would you tell us why Archive Shuttle is a next generation Migration Tool? What is the difference between QUADROtech’s approach versus traditional methods?

MICHEL:
That’s a very interesting question. We’ve found that 1st and 2nd generation solutions are working much like a normal copy process just with some additional preparation.

The traditional 3-step approach to archive migration

First, you need to create new archives for the users you want to migrate and disable them on the old archiving system.

Second, create a mapping table in excel or as a CSV to map source to target archive. Next, the content will be copied to the new archive. The risk here is that because extraction and ingestion are performed simultaneously, the migration application or server itself may become the bottleneck due to every single byte flowing through it.

Last but not least you will have to process all the shortcuts in the mailboxes. All these steps have to be taken more or less manually, without the advantage of a specified workflow.

Why is Archive Shuttle better than the traditional approach to migration?

Unlike the traditional method, we take a modular approach and can spread the load over the archiving servers in a simpler way without letting the migration software become the bottleneck. In our concept, no migration content flows through the migration server which results in faster migration speeds and more flexibility in terms of planning your project.

Second, we don’t try to migrate every item in an archive in a single shot. We use a multi-stage migration approach called “sync ‘n switch” which allows us to uncouple data from user migration. We synchronize the items between source and target up-front to the user-migration. When I talk about synchronization, I include the ability to migrate deltas. You can even keep the archiving active on the source site during the migration and everything will catch up automatically.

Last but not least, we have included several workflows into the product that allows for automation of provisioning and ensures no user disruption during the migration. The shortcut conversion or deletion is performed automatically too as a part of the workflow.
